Item Availability

Overview

Keeping your menu up to date with item availability to let your customers know what is currently orderable is crucial to smooth business operations— making sure there are no kitchen mix ups or refunds needed from out of stock items being ordered by eaters on platforms where corresponding items weren’t 86’d (marked unavailable).

With Otter, you can update item availability from:

  • Otter Dashboard
  • Otter POS
  • Otter Manager

Item availability changes automatically go live across all connected channels once updated.

 


Item Availability Types

When editing a menu items availability, there are three choices to update the availability to:

  • Available:

    Item is available at the restaurant and can be ordered by eaters. If an item was previously Unavailable, it will become available on all connected platforms after selecting Available.

  • Unavailable Today:

    Item is marked unavailable for the remainder of the business day. At midnight, the item will show as Available again and eaters will be able to order this item from all connected platforms.

  • Unavailable Indefinitely:

    Item will be marked Unavailable until the item is manually marked Available again. When items are marked as Indefinitely Unavailable the item is not deleted from the menu, but will not be offered on connected platforms until manually updated to Available.

 


 

Changing Item Availability

Follow the steps below to change an item’s availability on Otter Dashboard, Otter POS, and Order Manager.

    1 Select the Menus App from the Otter home screen.

    Select the item(s) to update.

    Choose an availability option at the bottom of the screen.

    NOTE

    3 Updated item availability status will show to reflect changes made.
  • Step Process Image
    1 From the Otter Dashboard, click Apps > Menus.

    Select the menu you’d like to edit.

    Click on the menu item to edit.

    3 Click [Update] for Item Availability.
    4 Select the location(s) to update item availability for.

    Select availability option.

    Click [Publish availability].

    6 Updated item availability status will show to reflect changes made.

 

Bulk Editing Item Availability

    1 From the Otter Dashboard, click Apps > Menus.

    Select the menu you’d like to edit.

    Click on the menu items to bulk edit.

    3 Click [Change availability] from the menu bar at the bottom of the screen.
    4 Select the location(s) to update item availability for.

    Select availability option.

    Click [Publish availability].

    Updated item availability status will show to reflect changes made.

    To view status, go to Items tab or Edit Item window of the unavailable item..

 


 

Viewing Unavailable Items

When an item is marked Available, there will be no flag shown for that item— it will appear as expected. 

However, when an item is marked as Unavailable (indefinitely or today), there will be an indication shown when viewing that item in the Otter Dashboard or Otter POS. 

Check out each view for items marked as Unavailable below.

Otter Dashboard

  • When selecting a menu, then clicking on the Items tab— you’ll see an - Unavailable flag listed next to any item marked as unavailable, along with a number to indicate how many locations that item is marked unavailable for.

  • While clicking on an item to make edits, you’ll see the Item Availability status for that item and corresponding locations on the right-hand side.

  • While previewing a menu, if there is an item marked Unavailable— the item will show faded and tagged as unavailable.

    NoteOnline Ordering Unavailable Flags

    If an item is marked as Unavailable, on Otter Kiosk and Direct Orders, the item will not be flagged as Unavailable— the item will not show at all to the eater.

 

Otter POS & Order Manager

  • When viewing a menu within the Menus App on Otter POS or Order Manager— from the All tab (to view all menu items), if an item is marked Unavailable, you’ll be able to see a flag indicating if it’s unavailable Today or Indefinitely.

  • When viewing a menu within the Menus App on Otter POS or Order Manager— from the Unavailable tab, you’ll have a view of all items marked Unavailable for that menu. You’ll also be able to see a flag indicating if it’s unavailable Today or Indefinitely.

     

  • While ringing in an order on Otter POS, there will be an icon shown on items marked as Unavailable— indicating to the cashier that the item is not currently being offered.

 


 

FAQs

  • To set an item unavailable for a certain channel, from the Otter Dashboard, click on the desired menu item to bring up the Edit Item window.

    Scroll to the Offered On section— there, you can toggle OFF or ON to indicate which channel you’d like the item to appear on.
