How to import a POS menu in Business Manager

This guide will show you how to import your POS menu into Business Manager.

You may come across one of the following scenarios:

  1. In Business Manager there is an existing active menu on a store.
  2. In Business Manager there is not an existing menu on a store.

1. Access Business Manager. 1. Access Business Manager.
2. On Business Manager, navigate to the Menu app.

3. Click on Get Started if it’s the first time you are importing a menu to Otter.

Note: If a menu has been previously imported, the "Get started" button will not show. Instead, click the "Add menu" button located on the top right side of the screen.

3. Identify and access the menu you need to work on.

4. Select a method to create the Otter menu. In this case, IMPORT.

4. Review the following menu settings before proceeding to the next step:


5. Insert a menu name (e.g: [store name] POS menu)

5. Click on "Manage POS Links".

6. Select the brand to add to the menu.

6. Click on "Update from POS" and wait for the process to run.

7. Select the POS location to add to the menu.

7. A pop-up will prompt asking which changes you would like to be pulled from the POS.

PLEASE NOTE: Before proceeding to this step please make sure you have checked the following menu configuration features: 
  • Update names: Otter menu item names will be overwritten by the item names of the menu source-of-truth.
  • Update descriptions: Otter menu will import item descriptions from the menu source-of-truth.
  • Update prices: the Otter menu prices will be synced with the source-of-truth menu prices.
  • Delete unlinked: the unlinked items in the Otter menu will be deleted. This normally happens when items from the source-of-truth menu are removed.
  • Create and link: Newly created items are added to the Otter menu. This normally happens when items are added to the menu source-of-truth. 
  • Import photos: Otter will pull menu photos from the menu source-of-truth.
  • Copy entity relationships and ordering: Otter will modify the menu structure, item placement, and category order to align with the POS menu structure.

8. Select the POS service.

8. Select the changes needed to be imported from the POS and click "Update".


9. Press "Continue" on the bottom right side of the screen to proceed. 9. Go back to the main Otter menu and click on Publish.

10. Select the location(s) that will sell the menu online.

10. Publish the menu to all the delivery platforms and locations attached to it.image-20230228-001706.png

11. If the location(s) that you selected is already serving a different menu, you will get a warning message on the screen and a "Conflict" icon appears next to it.


PLEASE NOTE: Selecting the location(s) will overwrite any menu data. Menus at the location will be replaced when updated, so ensure that you want to proceed.

For example, when you import a menu from your POS, the items that were marked as unavailable will not be preserved. Please keep a record of these items to mark them unavailable afterward.

Tip: If you're not ready to replace your existing menus and simply want to preview what's being imported into Otter, you can import a menu without assigning it to a specific location.
11. Menu import complete!

12. Once ready, click the "Create Menu" button on the bottom right side of the screen.

13. When successful, the screen will go back to the Menus window and the new menu will be visible.
