Otter POS: How to manage logins

Summary

Employee Logins offer you the flexibility to customize the POS experience according to the preferences of individual users.

You can create unique PIN code logins for your staff and grant or lock permissions for actions, including:

  • Accessing the POS terminal
  • Authorizing specific discounts (otherwise requires manager override to access)
  • Access to specific POS settings (otherwise requires manager override to access)

This feature also ensures that you can monitor actions for auditing and reporting purposes.

User management settings

In your Otter dashboard, you'll find various user management settings, such as:

  1. Creating new users
  2. Assigning roles
  3. Managing PIN codes
  4. Viewing all created users
  5. Filtered view of users by role and status
  6. User edit panel
PLEASE NOTE: If you haven't paired your device through your Otter Dashboard, you won't be able to use these passcodes to access the terminal.

Step-by-step guide on how to set up employee pin code logins

  1. Log in to your Otter Dashboard and navigate to the Settings tab on the top right corner of your screen.
  2. Navigate to the User Management tab and click on Users.
  3. Select ‘Add user’ and create your user. We recommend creating a Supervisor level user first so you avoid the possibility of a lock-out.
  4. Once you’ve created a user, select the ellipsis (three dots) next to that user and set a passcode. Select the pencil icon to edit and hit the check button to save.
  5. Once this is done, navigate to the Devices tab in Settings to pair your device.
  6. Select the new device and you’ll be prompted to add a pairing code.
  7. Navigate to the Otter app on your tablet or POS terminal and select Pair device to access your pairing code. Enter this code in your Otter Dashboard.
  8. Confirm any additional prompts and your device will be all set up for pin code use.
